This Privacy Policy explains how Eyala, powered and built by CMJ Software, handles information when you use our app, website, and related services. It applies to information you provide, information created through your use of Eyala, and information processed to operate the service.
For questions about this policy or your personal information, contact the Eyala team at clintonjohnson@cmjsoftware.com. If you use an organization’s workspace, that organization also controls its workspace content, membership, and retention settings. Contact its administrator about those decisions.
The details you bring to Eyala
Account and security information: your name, email address, password hash, account identifiers, workspace memberships, roles, and session information. If you enable additional sign-in methods, we also store the credentials needed to support them, such as passkey public keys and protected multi-factor authentication secrets. Passkey authentication does not give Eyala your fingerprint or face data.
Workspace content: the records, events, descriptions, dates, amounts, locations, relationships, documents, photographs, and other files you choose to enter or upload, along with their metadata, versions, and processing results. This content may contain personal or sensitive information depending on what you provide. A location entered in a record is part of that record; it does not mean Eyala continuously tracks your device’s location.
Support communications: your name, email, message, selected topic, and any optional organization or phone details you send through our contact forms or email.
Technical and operational information: requests to our services may include an IP address, browser or device information, timestamps, session identifiers, errors, and security or activity logs. We also process synchronization status, preferences, and usage information needed to provide workspace features and access limits.
To make your workspace work
We use information to create and secure accounts; store, organize, search, and retrieve your records; process files; synchronize authorized changes; provide exports; manage workspace access; and deliver features you request. We also use it to respond to support requests, send account and security messages, troubleshoot problems, prevent abuse, and meet applicable legal obligations.
Submitting a support form does not subscribe you to marketing emails. The current Eyala app and website do not use advertising trackers or sell personal information. Optional features may require additional information; you can choose whether to use them.
Understand what you send
When you use an available AI feature, your question and relevant records you are authorized to access may be sent to the AI provider configured for that feature to generate an answer. Personal provider connections support OpenAI and Anthropic (Claude); other deployments may use a configured organization provider. Provider availability depends on your account and deployment.
If you connect your own provider, Eyala stores your API credential in encrypted form and uses it to communicate with that provider. Review the provider and processing notice shown in the feature before submitting a question. Avoid sending information you do not want that provider to process.
The provider’s terms and your provider account settings govern its handling of submitted information, including retention and any training use; this policy does not promise that every provider uses the same settings. You can stop sending questions and disconnect a personal provider in Settings. Disconnecting stops future use of that connection; it does not retract requests already processed.
Remembering your preferences
Eyala uses cookies for sign-in sessions and workspace selection, and browser storage to remember preferences such as your theme. Where offline features are enabled, records and pending changes may also be stored in an encrypted local vault on your device so you can work and synchronize later.
You can manage cookies and site data in your browser or device settings. Clearing storage may sign you out, reset preferences, or remove offline copies and unsynchronized changes. Export or synchronize changes you want to keep before clearing storage. Removing a local copy does not delete information already stored on our servers.
Keeping only what is needed
We retain account information and workspace content while needed to provide the service, maintain your records, and meet applicable legal, security, and operational obligations. Support communications are retained as needed to address the request and maintain a record of its resolution. Retention depends on the type of information, workspace settings, and any applicable preservation requirements.
Deleting a record may first place it in a recoverable state rather than immediately erase it. Workspace retention policies govern recovery and deletion processing, and an applicable hold can delay permanent removal. Backups, security logs, and deletion evidence may remain after content is removed from active use; deletion is not an immediate erasure from every copy.
To request account closure or deletion of personal information, email clintonjohnson@cmjsoftware.com or use our support page. We may verify your identity and clarify the affected workspace before acting. Where information must be retained, we will explain the applicable limitation. For organization-controlled records, we may need to work with the organization’s administrator.
A say in your own information
You can edit records you have permission to manage and use Settings → Download your data in the web workspace to export authorized records and original files. Settings also provides controls for sign-in sessions and connected applications.
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of personal information, restrict or object to certain processing, and withdraw consent where processing relies on it. To make a request, contact us using the details below. Withdrawing consent affects future processing and does not undo processing already lawfully completed. Some information is needed to provide account-based features.
Where applicable, you may also complain to your local data protection authority. We will handle requests according to applicable law and may request information needed to verify identity, without asking for your password or verification codes.
Care for the details that matter
Eyala uses authenticated sessions, workspace permissions, password hashing, and protected credential storage to help safeguard information. No online service or device can guarantee absolute security. Keep your credentials private, review connected applications, and contact us if you suspect unauthorized access.
Information may be processed where Eyala and its service providers operate, including the United States. Those locations may have different privacy laws from your location. Applicable legal requirements govern international processing and transfers.
A service for a personal workspace
Eyala is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can investigate and address deletion. Where local law requires a higher age or parental authorization, those requirements apply.
Keeping you informed
We may update this policy as the service or applicable requirements change. The updated policy and its effective date will appear on this page. For material changes, we will provide additional notice or request consent where required.
Let’s talk about your privacy.
Send privacy questions, access requests, corrections, or deletion requests to clintonjohnson@cmjsoftware.com. Include enough context for us to understand the request, and leave out passwords, verification codes, and sensitive record contents.
